The GSOH is committed to protecting your privacy. Any data collection is done in line with statutory provisions. To find out more about this please look up www.datenschutz.de . Basically the following applies:
- When visiting a website from the GSOH and when retrieving data, this data may be saved in a log file. The following information is then saved in detail:
- Name of retrieved data
- Time and date of retrieval
- Amount of data transferred
- Message to say if retrieval was successful
- Description of type of internet browser used
- Inquiring domain
- For the use of the GSOH websites it is sometimes necessary for cookies to be used. Two different types of cookies are used:
- Session-Cookies are sometimes needed for navigation to the GSOH portals. Cookies lose their validity when the browser is closed or when there has been no activity on the GSOH website for a certain period of time. When using the personalised area of the GSOH portals a log-in must be carried out again.
- Cookies used for retrieving different services have a defined validity period, depending on the particuar application.
- The data collected serves to optimise the navigation and contents of the GSOH websites. The data analysis is carried out holistically, i.e. evaluation of individually based user data is explicitly not carried out. The data collected is not supplied to external third parties.
- The record of information provided by users is analysed by the GSOH for statistical purposes. Sale of addresses to third parties does not take place.
- Users who log in to a GSOH portal are no longer anonymous. Each time a user logs in to our sites they can use the services provided by the GSOH, subject to the selected service and the user authorisation. If a registered user contacts the GSOH IT support, a ticket is then issued. This ticket is saved in order to have a history of advice given and to provide a quick processing for customers in the case of repeated inquiries.
- When using e-mail addresses provided by the GSOH, all incoming e-mails are analysed using different automated procedures:
- Greylisting: The GSOH uses Greylisting to protect against spam. Incoming mails to the university are initally rejected. The server where the mail came from is then requested to "try again later". Compliant RFC servers do this and send the mail again a short time later. The mail is then accepted and sent. The sender of the mail is not aware of anything other than a delay in the delivery of both mails. Servers who do not comply with the RFC guidelines (frequently spammers) are mostly not able to repeat this delivery.
- Virus scanner: If a virus is detected in an e-mail, the e-mail is immediately deleted for security reasons. The recipient receives an automated e-mail notifcation. The use of the virus scanner can not be deactivated. The use of the virus scanner does not guarantee 100% security, but is a part of our contingency policy.
- Spam filter: All incoming e-mails are checked by the system according to certain concepts or word combinations. The result of this test is recorded in the e-mail in an additional so-called header field. Subsequently the e-mails can be placed in a specific e-mail file automatically by means of the header field. E-mails which are put into this file can be automatically deleted. This function of the spam filter is to be configurated by the user himsef. The spam filter function can be turned off by the user at any time. Once filtered or deleted e-mails can not be taken back into the inbox or undeleted.
- The GSOH sometimes provides hosting capacities regarding our service offers. When using these systems the general terms and conditions of the GSOH apply.
- Employees of the GSOH are sworn to secrecy regarding personal data. Forwarding this data to third parties only occurs when this is necessary for fulfilling official business. Such third parties are also bound to the protection of the user's data.
- All data which can be found within the "*.ohm-hochschule.de", which can be found on our servers and which are hosted there can not be accessed by unauthorised persons. GSOH employees and our system service providers check the effectiveness of this protection.
- When leaving a site (e.g. when clicking on one of our pop-ups) cookies can be set on this target site. The GSOH is not legally responsible for these. Please check the privacy policies of our advertising partners to find out about the use of such cookies and the information saved with them.
- The GSOH wishes to point out that the use of personal areas of the portals should only take place when using secured access (VPN). By doing so it can be sure that the personal data exchanged between the users and the GSOH can not be seen by a third party.
- All servers where personal data for the GSOH can be processed or documented are within the Federal Republic of Germany.
- The security measures in place allow cookies to be saved or to be forbidden. Further information on the use of cookies can be found on the Federal Office for Information Security site (www.bsi.de).
- Should the GSOH allow partner companies to implement certain services, our privacy policies are imposed on the partners and these partners are bound to adhere to them.
